🔍 Purpose
By following the steps outlined in this guide, you will be able to effectively invite new users to the Informed 365 application and manage their information efficiently.
🛠️ Prerequisites
Before you can invite users and manage user details, please ensure that you have the necessary access permissions. Only users with administrator privileges will be able to perform these actions. If you do not have the necessary permissions, please reach out to your administrator to request the appropriate access.
We recommend you create groups and 🚧 form templates prior to adding users. By having these in place, you may then assign users to groups and attach form templates to organisations during the user setup process.
📝 Step-by-Step Guide
Click on the Menu icon
Click on Users
Click on the + Create button
Complete the following fields at the top of the screen:
If you click on Add User, the application will provide another row of user fields to complete.
(a) User Permissions
In the Form Templates drop down menu, you can see all the forms that have been created within the application.
On the left hand side against each form is a tick box. Tick the box of each form you wish to provide the user access to.
To assign a permission level, click on the toggles as per below.
If you toggle on the Reviewer, the user will have access to:
- a basic version of the Dashboard
- any forms they have created or been invited to complete
- view any organisations (suppliers) that they are a member of
- conduct any reviews that they've been assigned to complete
If you toggle on the Administrator, the user will have access to everything the Reviewer can do, plus the following:
- View client specific version of the Dashboard
- Forms - from organisations (suppliers) linked to the client- Organisations - list all, view only those linked to the client
- Groups Module
- Reports Module
- Workflows Module
- Emails Module
- Score Template
- Form Templates
- Users Module
- Teams Module
- Settings Module
As guidance, our clients have followed the below when deciding permission levels:
Administrator: select this if you would like the user to be able to access any and all data within the application*
Reviewer: select this if you would like the user to receive limited access to the application so they may be able to review organisation (supplier) form responses
*Please note: consortium members only have access to the data of organisations (suppliers) which they are linked to.
(b) Invitation Email
If you are ready to send an invitation email to the user, please check the Send Invitation email and then complete the Subject and Message fields.
By checking the Send Invitation email, this will trigger an email to be sent to the user inviting them to complete their sign up to the application.
If you are not ready to invite users to the application, please ensure you have unchecked the Send Invitation email.
The below is an example of an invitation email:
(c) Inviting Users
Once you are finished, click on Invite Users.
Please note: If you have toggled on the Send invitation email, then the email will be sent at this point.
Click on the Refresh button to update the page.
You can now see your newly created user(s) at the top of the list. Each user has a status code.
Explaining the user status codes:Created means a user was created without sending them the invite email.
Invited means a user was created and sent an invite email.
Active means a user has activated their account and can now use the application.
Inactive means a user has had their account deactivated.
