🔍 Purpose

To streamline supplier engagement, the Informed 365 platform enables you to send invitations and follow-up emails directly from the application. These messages can include assessment details, registration instructions, and contact information for both Informed 365 Support and your internal team.

All email content is fully customisable and can be saved as reusable templates. To reduce manual effort and improve response rates, you can automate reminders using these templates. For setup guidance, refer to the Workflows resource.

While you can create unlimited templates, a standard setup includes:

  • Initial Invitation

  • Follow-up/Reminder 1

  • Follow-up/Reminder 2

  • Follow-up/Reminder 3

  • Completion Confirmation / Thank You Message

🛠️ Prerequisites

We encourage all organisations to seek internal approval of email templates prior to loading, to ensure it aligns with the organisation's policies, standards and legal obligations.

📧 Preparatory Email

Should be sent from clients own email domain to notify suppliers of intent to engage through Informed 365.

Dear NAME,

You have received this email as a valued supplier to <your company name>.

To understand the risks of modern slavery in their supply chains, <your company name> offers suppliers a free online supplier platform through Informed 365.

<your company name> would like you to register and complete the online assessment that will be sent to you. The assessment will save progress as you go, and you can invite colleagues from your organisation to help with different sections. Once completed you won’t have to repeat the assessment, only update and sign off any changes once a year.

<your company name> can then understand how to work better with their supplier partners, and how to help you in future. They can also report each year on their human rights or modern slavery risks and what they’re doing about them, under the Modern Slavery Act 2018.

As <your company name> wants to work with suppliers that share their respect for human rights, you are strongly encouraged to complete the assessment as soon as possible. If you have questions about this email or the supplier platform, please email [email protected] or your contact at the organisation.

Please look out for the invitation email which will arrive shortly and thank you for your help tackling modern slavery.

📧 Initial Invitation Email

Should be sent from Informed 365 application when suppliers are bulk uploaded / invited to the system.

Subject: Invitation from <your company name> to complete a Supplier Assessment on Informed 365

Available Mail Tags which can be inserted in email templates to personalise each outgoing email:

  • {{first_name}} = Display the user’s first name

  • {{last_name}} = Display the user’s last name

  • {{email}} = Display the user’s email

  • {{invite_link}} = Display the invitation link

Dear {{first_name}},

<your company name> sent you an email a few days ago asking you to complete a Supplier Assessment on the Informed 365 portal, with information about human rights and modern slavery initiatives.

To do this, you will need to register and then complete the assessment online. The assessment should take between 60-90 minutes to complete. To start:

  1. Go to <your application URL> or click on the registration button below

  2. Select 'Register' to create login details, or log in if you already have an account

  3. Find your organisation in the drop-down list under the “Organisations” tab

  4. Click on '<name of form>' and start your assessment

  5. You do not need to create a new organisation or form as have already been created in the company profile for you

  6. To invite colleagues to help with sections of the assessment, you can 'Invite collaborators' once logged in, from the top right area of each section*.

IMPORTANT: If this email has been forwarded to you to complete the assessment, or you need to update contact details, please email <your company and contact name> at <your contact email> to advise, as only email addresses that the application owner has invited can register and complete the assessment.

There are no 'right' or 'wrong' responses in the assessment. Many organisations may not yet have started the actions or policies mentioned in the assessment, and that's realistic. <your company> may reach out to ask clarifying questions or, where necessary, work with you to reduce potential risks.

While completing the assessment online your answers will be auto-saved, and once you have completed all sections you can submit the assessment for review. You can also ask questions at the end of each section, or leave feedback in the Additional Comments section.

For technical support, contact Informed 365 at [email protected] or use the blue chat feature at the bottom of your screen when using the platform. A Customer Support Specialist will be available between 9:00 am and 3.00 pm (GMT+10), Monday to Friday. Please contact <your name> at <your email> to verify this request or with any other questions.

Please schedule some time to complete the assessment within two weeks of receiving this email, as this will allow <your company name> to meet their reporting obligations.

IMPORTANT: If this email has been forwarded to you to complete the assessment, or you need to update contact details, please email <your name> at <your company name> at <your contact email> to advise, as only email addresses that the application owner has invited can register and complete the assessment.
