🔍 Purpose
To streamline supplier engagement, the Informed 365 platform allows you to send invitations and follow-up emails directly from your application. These emails can include guidance, registration steps, and contact details for both Informed 365 Support and your internal team.
You can fully customize and save these messages as Email Templates. Instead of manually following up with suppliers, use templates to automate reminders—this process is detailed in the Workflows article.
You can create unlimited templates, but we recommend starting with:
Initial Invitation
Follow-up/Reminder 1
Follow-up/Reminder 2
Follow-up/Reminder 3
Completion Confirmation / Thank You Message
🛠️ Prerequisites
We encourage all organisations to seek internal approval of email templates prior to loading, to ensure it aligns with the organisation's policies, standards and legal obligations.
📝 Step-by-Step Guide
Click on the Navigation Menu.
Click Emails module.
Click on the Email Templates tab to view a list of existing templates, and to add new ones.
To create a new Email Template, click on either of the Create Buttons.
Click on the Title field and enter a title using the naming convention suggested here: "FY<>Your organisation name <> Initial Invitation"
Click the Owner Type field and select Organisation (this will allow other members of your organisation to access the templates)
In the Owner field start typing the name of your organisation and select the correct option from the drop down menu.
Click on the Subject field and enter the subject line for your outgoing email. (e.g. "Informed 365 | Invitation to complete Modern Slavery Assessment")
Click in the Message field and enter the content for your email.
Click here to send yourself a test email to confirm if all template mail tags and platform links work.
Click Save.
Once you complete your supplier upload and send invitation emails, you can click on Logs to review email sent statuses.
