Creating Reviews

🔍 Purpose

Reviews let you invite team members or external auditors to assess specific supplier responses, ensuring that only relevant responses are reviewed. You can also add scoring for approval, and set up reviews by different departments (e.g., finance, legal, compliance).

Additionally, you can create a dashboard widget to track review progress and scores. For more details, contact your Account Manager.

This guide will instruct users on how to:

  • Create a New Review template

  • Edit Review Templates

  • Set up a New Review

  • Reopen & Delete Reviews

  • Export Reviews

  • Filter Review lists

🛠️ Prerequisites

  • Application must have 1 Form Template

  • Application must have 1 Organisation (Supplier)

📝 Step-by-Step Guide

(a) Creating a New Review Template

1. Click on the Navigation Menu

2. Click on the Reviews

3. Click on the Review Templates tab

4. Click on Create

5. Click the Title field and name your review. e.g. 'Finance Review'. Then click the Form Template field to select the template you wish to align your review with.

6. Click Save

7. Click the Refresh button

8. Click on the name of your newly created Review Template

9. Click on the Questions tab

10. Select the Check Box next to the questions you require reviewed

11. Click on the Template tab

12. Click the Create Criterion button

13. Click the Criterion field & give your question a name. e.g. 'Supplier Location'

14. Click the Linked Questions field

15. Select the Question you wish to set this criterion up against

16. To add a note in the Description box

A description is optional but may provide more context for the reviewer regarding the task at hand.

E.g., "Supplier must not be approved if original identity documentation is held".

If you do not wish to add a description, simply leave this box blank.

17. Click the Maximum Points field and enter your maximum score

Criterion can be scored for approval.

E.g., A 'preferred answer' may have a score of 5/5.

If you do not wish to score your criterion, please set the maximum to '0'.

Your maximum score equates to an approval status.

For example:
5/5 = Approved
Anything less than 5 = Not Approved

18. To turn on Mandatory commentary, simply click the toggle

Criterion can be set to 'Mandatory' requiring a mandatory comment from the reviewer.

E.g., 'Supplier has not been approved as they hold original identity documentation. Next steps are to engage relationship holder to remediate.'

If you do not require mandatory commentary from the reviewer, please skip the next step.

19. Once you have finalised your criterion, click Save

Repeat the process for any additional criteria you wish to create.

(b) Editing Your Criterion

1. Click the Edit Criterion button and make any relevant adjustments

2. Click Save

3. To re-arrange the order of your criteria, click the Sort Criteria button

4. Drag and drop the criteria to change the order

5. Click Close

(c) Setting Up a Review (As the Requestor)

1. Click on the Navigation Menu

2. Click on Forms

3. Click the Form you wish to attach a Review to

Forms must be closed for a review to be attached

4. Click the Form Review button

5. Click Create New

6. Click the Template field to select your Review Template

7. Click the Reviewer field to select the Reviewer

Reviewer refers to the person who will be completing the review

8. The Level field is populated automatically with Medium but this can be changed .

Levels available for selection include Low, Medium, or High

9. Click the Requested By field and select your Requester.

Requested By refers to the person who has requested this review to take place.

Typically, this is the person who has created a new review for the reviewer against a particular form, however, this may vary depending on your internal processes.

10. Toggle on 'Send reviewer notification email' to notify the invited reviewer via email

11. Click Save

A number '1' will now appear beside the Form Review button to indicate that your review has been successfully created.

It is possible for multiple Reviews to be attached to a Form, and number will increase depending the number of Reviews attached.

You can access your live Reviews in two ways.

First, via the Form Review button.

12. Click the Form Review button

13. Select your newly set up Review

The second method of accessing live Reviews is to navigate to the Forms module

14. Click on the Navigation menu

15. Click the Reviews module

16. From the Reviews tab, you will now see all live reviews

(d) Reopening or Deleting Reviews

Once your review is submitted, it will become locked. To re-open a Review, please see the following steps.

1. Click the check box of the Review you wish to re-open

2. Click Reopen Reviews

3. To delete your Review, select the check box of the Review you wish to delete, and click the Delete button

(e) Exporting Reviews

Exporting Reviews can be useful if you wish to analyse your data

1. Click the Export Review Responses tab

2. Click the Download button

(f) Filtering Your Reviews List

When data begins to sit across multiple pages, it may be helpful to filter your lists by specific pieces of information.

There are many types of Filters you can apply to the reviews list. Please see the following examples.

1. Click Add Filter and select your Filter (e.g. Progress or Reviewer)

2. Select the element of data you wish to Filter by (e.g. a percentage of progress or a particular Reviewer)

3. Click Apply Filter
