🔍 Purpose
The D&B integration automatically enriches your supplier records with financial health and risk data sourced directly from D&B's global database. Once set up, the platform submits your nominated suppliers to D&B on a regular schedule, receives back a detailed risk profile for each one, and populates that data directly into the supplier's record - with no manual data entry required from your team.
🛠️ Prerequisites
Before setup can begin, you will need to provide Informed 365 with the following details:
Username
Password
Contract year-end date
Maximum number of suppliers to scan (your contracted limit with D&B)
Email address(es) for sync report recipients
Your suppliers do not need to have D-U-N-S Numbers recorded in the platform. The platform handles supplier identification automatically using each supplier's name, country, and business registration number. If D&B successfully locates a match, the D-U-N-S Number is returned by D&B and stored automatically in the supplier's profile.
📝 Step-by-Step Guide
(a) Integration Setup
This step is completed once by a platform administrator.
Click Integrations in the navigation menu.
Under API Settings, navigate to the Dun & Bradstreet tab and click Change Credentials.
Enter the credentials provided when your D&B subscription was activated. Then click Save to apply the settings.
Mandatory fields to complete also include:To update credentials later, click Change Credentials. To remove them entirely, click Delete Credentials.
(b) Managing Your Supplier Scan Group
Not all suppliers in the platform are automatically submitted to D&B. Only suppliers added to your dedicated "Dun & Bradstreet" scan group are included. This gives your team deliberate control over which suppliers are monitored and ensures the integration only uses your contracted capacity for the suppliers that matter.
Note: if your scan group contains more suppliers than your contracted maximum, only the first batch will be submitted. Your administrator can adjust this limit from within Integrations settings.
To add suppliers to the Supplier Scan Group, users can do so using any of the following options:
Option A - Add via the Organisation Module: [RECOMMENDED]
Watch this space! Coming soon
Option B - Add via the Groups Module:
Watch this space! Coming soon
Option C - Bulk upload via the Integrations Module
Scroll to the Organisations section on the Integrations page.
Click the green + (Create) button.
Upload a file containing the suppliers you wish to monitor, including their name and country.
Option D - Add via the Integrations Module
Click the green + (Create) button.
Use the Select Organisation/s dropdown to add suppliers individually.
For D&B to successfully match a supplier in their global database, ensure each supplier's name, country, and business registration number are recorded accurately in the platform.
(c) How the Integration Runs
Once suppliers are in the scan group, everything else is automated.
Four times a day - at 4 AM, 10 AM, 4 PM, and 7 PM (Brisbane time) - the platform compiles your scan group and sends it securely to D&B. Each submitted supplier is recorded as "Awaiting first scan" while D&B processes the request.
Your team can also trigger a manual upload at any time from the Integrations screen, which is useful if you have just added new suppliers and do not want to wait for the next scheduled run.
Note: a manual upload sends the list immediately, but updated data will not appear until the next scheduled sync - at most a few hours away. The Integrations screen displays the next scheduled sync time.
(d) What D&B Returns
D&B looks up each supplier in their global database of hundreds of millions of businesses. Where a match is found, they return a detailed profile including:
Field | What it shows |
Overall Business Risk | A top-line risk classification, ranging from Low to Severe |
Failure Score | The likelihood of a business ceasing to operate |
Delinquency Score | The likelihood of a business falling significantly behind on payments |
PAYDEX® | D&B's proprietary payment performance score, showing how promptly a business pays its bills |
D&B Rating | A combined assessment of financial strength and creditworthiness |
D&B Viability Rating | A multi-dimensional score covering portfolio comparison, company profile, data depth, and an overall viability score |
Maximum Credit Recommendation | How much credit D&B recommends extending to the business |
Bankruptcy and insolvency indicators | Flags for insolvency events, suits, judgements, and slow payment history |
Historical trend data | Twelve months of rolling data for Failure Score, Delinquency Score, PAYDEX®, and Slow Payment Risk |
(e) Viewing D&B Data
Once a supplier has been matched, their D&B data is accessible in two places.
Supplier profile: navigate to the supplier's Organisation Profile and open the Forms tab. The D&B Workspace Data form lists all returned metrics in a structured layout and is fully searchable and reportable through the platform's standard tools.
Administrators can also view and, if necessary, correct a supplier's internal D&B reference number from the Integrations tab on the supplier's Organisation Profile page.
(f) Supplier Profile Corrections
If a supplier's name, country, or business registration number is corrected in the platform, the integration automatically clears the existing D&B Workspace Data form for that supplier and re-submits them with the corrected details on the next upload. This ensures your team never sees financial data that belongs to the wrong company.
(g) Sync Report Email
After each sync, the platform emails a summary report to your nominated recipients. This is a spreadsheet listing every field that changed on every supplier's D&B Workspace Data form during that sync - for example, if a Failure Score moved or an Overall Business Risk rating changed category. The report is available to download for 24 hours via a secure link in the email.
(h) Audit History
The platform maintains a permanent history of every supplier scan, recording when each supplier was scanned, which contract year the scan belonged to, and which group they were part of. When a contract year rolls over, historical records are preserved and a new record for the current year begins. Administrators can access this history through the Historical tab on the Integrations screen.
📋 Supplier Status Reference
Status | What it means |
Matched | D&B returned data and the supplier's D&B Workspace Data form has been updated |
Awaiting first scan | The supplier has been submitted but D&B has not yet returned results |
No data returned from D&B | D&B has had sufficient time to process this supplier but could not find a match in their database |
Missing D&B identifier | This supplier is missing required details and cannot be submitted |
All statuses are visible from the Integrations management screen, along with each supplier's last scanned date and any failure reason. This list can be filtered and exported at any time.
