Managing Connections with Platform Partners

🔍 Purpose

Use Action Centre > Connections to choose which platform partners can connect to your organisation profile and reuse your assessment data.

What are Connections?

Connections let you control which participating platform partners can access your organisation profile and assessment data - helping reduce duplicate data entry across a consortium platform.

🛠️ Prerequisites

Before you begin:

  • Your user must be associated with an organisation profile in the platform.

  • You must have access to Action Centre.

📝 Step-by-Step Guide

(a) Open Connections

1. Open the Navigation menu, and select Action Centre.

2. Select the Connections tab.

Note: If you are a user on more than one organisation, select the organisation you are managing connections for (connections are saved to that organisation profile).


(b) Find platform partners (Search + Filters)

In the Connections tab, you can:

1. Use Search to find platform partners by name.

2. Use Filters to narrow the list.

3. If nothing matches your search/filters, you will see:


(c) Electing to share your data with connections

1. Tick the checkbox next to each platform partner you want to share your data with.

2. Or tick Select All to choose everyone in the list.

3. Select Save.

4. Review the confirmation message. Here you'll see the names of the organisations you selected.

5. When ready, select Confirm to finalise (or Cancel to go back).


(d) Cancel a connection request

To cancel a connection request (which has not yet been accepted by the platform partner):

1. Find the platform partner in Action Centre > Connections.

2. Click on Cancel Request

3. Click on Confirm to finalise (or Cancel to go back).


(e) If Connections is unavailable

You will see “Connections unavailable” if the user is not linked to an organisation profile. As connections relate to organisation profiles, the user must be added to an organisation profile to manage connections. Please create one in the Organisations module. (f) What happens next?

After saving Connections, the platform partner will receive a request in Action Centre > Requests and can choose how to proceed:

  • Accept: Immediate access is granted to your organisation profile, forms, and any other relevant data.

  • Ignore: The partner can initiate a linking request later. If your connection request is still active at that time, the link will be established immediately.

If you cancel the connection request before the partner accepts or sends a linking request, any future connection request from them will require your manual approval. This can be done via the Action Centre > Requests tab or through the linking request email sent to the Primary Contact listed on your organisation profile.
