🔍 Purpose
This resources outlines the different supplier organisation statuses during the supplier engagement cycle.
These statuses are crucial for your your engagement and will impact supplier response rate.
In a consortium, understanding the Connection status of your supplier is essential:
Unlinked: Refers to an existing supplier (created by another consortium member) for whom you haven't initiated a request to link with your organisation.
Linked: Indicates a supplier that has either approved your request to share their assessment with your organisation or a supplier you've created first, making you the owner of that supplier profile
Linking: Describes an existing supplier (created by another consortium member) to whom you've sent an invitation to establish a link with your organisation (linking request)
Rejected: Pertains to an existing supplier (created by another consortium member) who has declined your request to share their assessment with your organisation.
The term “link" indicates that a supplier has chosen to share their assessment with your organisation.
This sharing occurs through three methods:
By creating the supplier profile and inviting them through the application, you automatically gain access to their assessment and establish a connection.
By sending a linking request to access a supplier's existing assessment, initiating a connection if they haven't already nominated you.
If a platform member requests access and the supplier has already nominated you via their SAQ, access is granted automatically (no email approval email needed)
🛠️ Prerequisites
You must have suppliers that you have invited to complete their Supplier Assessment Questionnaire (SAQ) on the application.
📝 Step-by-Step Guide
(a) How to Apply an Unlinked Connection Filter
1. Click on the Navigation menu on the top left-hand side of the page.
2. Click on Organisations module.
3. To view a list of suppliers' and their current connection status, click on Add Filter.
4. Click on Connection filter.
5. Click on the downward pointed arrow to view all connection statuses.
6. Click to check the box adjacent the relevant connection status.
7. Click anywhere inside the Chosen Filter box to collapse the dropdown list.
8. Click on Apply Filter.
9. The page will display a list of all supplier organisations that are currently unlinked i.e. not sharing their assessment with your organisation.
10. To remove filter, click on Clear Filters.
(b) How to Apply a Linked Connection Filter
1. Click on Add Filter.
2. Following the same steps, we will now look at suppliers that are currently linked / sharing their data with your organisations. Click on Connection filter.
3. Click on the downward pointed arrow to view all connection statuses.
4. Click to check the box adjacent the Linked connection status.
5. Click anywhere inside the Chosen Filter box to collapse the dropdown list.
6. Click on Apply Filter.
7. The page will display a list of all supplier organisations that are currently linked i.e. sharing their assessment with your organisation.
(c) How to Apply a Linking Connection Filter
1. Following the same steps, we will now look at suppliers that are currently in linking status i.e. you are awaiting approval from the supplier(s) to share their data with your organisations. Click on Add Filter.
2. Click on Connection filter.
3. Click on the downward pointed arrow to view all connection statuses.
4. Click to check the box adjacent the Linking connection status. Click anywhere inside the Chosen Filter box to collapse the dropdown list.
5. Click on Apply Filter.
6. The page will display a list of all supplier organisations that are currently in linking status i.e. pending supplier's approval to share their data with your organisation.
Please note that the onus/responsibility to approve your request to link sits with the supplier (and not Informed 365).
(d) How to Apply a Rejected Connection Filter
1. Click on Add Filter.
2. Click on the downward pointed arrow to view all connection statuses
3. Click to check the box adjacent the Rejected connection status. Click anywhere inside the Chosen Filter box to remove the list.
4. Click on Apply Filter.
5. The page will display a list of all supplier organisations that have rejected your request to share their data with your organisation.
You may need to follow up with your suppliers who are possibly in a linking status to approve your request for connection. This subsequent approval will grant you access to view the Supplier Assessment Questionnaire (SAQ) they may have already completed for another Consortium member.
You can manage the view of the information you would like to see and export on the landing page of Organisations module by clicking on Manage Columns on the right hand corner of the page.
