Opening and Closing Forms

🔍 Purpose

At times, suppliers may request that their assessment/form be re-opened after submission, so that they are able to edit an incorrect response or update inaccurate information within their form. This guide will show you how to perform this task.

🛠️ Prerequisites

Only Super Admin and Administrators are able to re-open a closed/submitted form.

If your internal team approves the re-opening of a form, please follow the below instructions.

If you do not have Administrator or Application Member permission level in your application, please contact the Customer Support Team at [email protected].

📝 Step-by-Step Guide

(a) How to Close a Form

📌Option 1: Directly within the Form

1. Click on the name of the form you wish to close. In the Form view, click on the Settings icon.

2. Move the toggle to the left so it is not showing Open. This will close the form.

3. Click SAVE to ensure the Closed status is saved.

4. Check the status of the form is now Closed.

📌Option 2: Through the Forms Module

1. Go to the Forms Module

2. Under the Forms tab, tick the checkboxes next to the form(s) you wish to close. Click Close Form(s) to proceed.

3. A confirmation pop-up will appear. Click OK to confirm and proceed with closing the selected forms.

4. The selected forms will now be closed and will no longer accept responses. Check the status of the form is now Closed.

(b) How to Open a Form

📌Option 1: Directly within the Form

1. Click into the Closed form in the Forms Module or the FORMS tab of the supplier/client's Organisation profile.

Move the mouse over the padlock below the Closed status box. A text box with "Reopen form" will appear. Click on the padlock to open the form.

2. A confirmation window will appear. If the form is required to be opened, click OK.

3. Check the status of the form is now Open.

📌Option 2: Through the Forms Module

1. Go to the Forms Module

2. Under the Forms tab, tick the checkboxes next to the form(s) you wish to open. Click Open Form(s) to proceed.

3. A confirmation pop-up will appear. Click OK to confirm and proceed with opening the selected forms.

4. The selected forms will now be open and will begin accepting responses. Check the status of the form is now Open.

(c) How to Close and Open a Form at the Same Time

1. Go to the Forms Module

2. Under the Forms tab, tick the checkboxes next to the form(s) you wish to close and open. Click Close Form(s) and Open Form(s) to proceed.

3. A confirmation pop-up will appear, depending on which action (Close or Open) was selected first. Click OK to confirm and proceed with closing and opening the selected forms.

4. Check that the Status of the forms is now:

  • The forms marked for closure are now Closed.

  • The forms marked for opening are now Open.
