🔍 Purpose
This feature allows Admin users to disable specific answer options within question fields without permanently deleting them from the template.
Previously, removing an answer option required deleting it entirely from the template. This action removed the answer from all templates and existing completed forms, which could cause confusion - especially if the deleted option had already been selected in submitted responses.
With this enhancement, Admin users can now use the Disable Answer function to hide selected answer options from open or in-progress forms, while preserving their visibility in completed forms for historical accuracy and reporting consistency.
🛠️ Prerequisites
You must have an Admin role with permission to edit Form Templates.
You must have access to the Form Template where the question field is located.
The form template must already contain the question field and the answer option(s) you want to disable.
📝 Step-by-Step Guide
1. Navigate to your application
2. Click on your navigation menu
3. Click on the Forms module
4. Click on the Form Templates tab and select the form you wish to modify.
5. Locate the specific question for which you want to disable an answer. Click the pencil icon next to the question to edit it.
In this example, we will disable an answer for the question:
“If not registered in Australia, in which country is your organisation registered?”
6. Navigate to the Answers tab
7. Click the eye icon next to the answer option you want to disable.
8. Once disabled, the answer option will appear greyed out in the settings and will no longer appear as a selectable option in open forms.
9. To re-enable the answer, click the eye icon again. The option will become active and available for selection in forms.
