Outstanding Supplier Actions: Manual and Automated Email Sending

🔍 Purpose

This article explains how to notify suppliers of outstanding actions using the Forms module.

It covers two methods — automated and manual email sending — so that administrators and application members can ensure suppliers are promptly informed of their outstanding Continuous Improvement Pathway commitments.

🛠️ Prerequisites

Before sending outstanding actions to suppliers, ensure the following:

  • The target supplier form has been completed and submitted.

  • You have Admin access (required for both methods) or Application Member access (required for manual sending only).

  • You are using the Standalone platform (required for automated sending) or the Standalone/Consortia platform (required for manual sending).

📝 Step-by-Step Guide

(a) Automated Sending of Outstanding Actions to Supplier

This feature is only available on the Standalone Platform with Admin access.

1. Go to the Forms module and select a Form Template

2. Navigate to Form Templates

3. Search for the target form template, then open it.

4. Open the form settings by clicking the gear icon.

5. Go to the Actions tab and toggle on Automatically Email Outstanding Actions.

6. Once enabled, all outstanding Continuous Improvement Pathway actions will be automatically sent to suppliers as a reminder to comply with their commitments.

(b) Manual Sending of Outstanding Actions to Supplier

This feature is available on both the Standalone and Consortia platforms with Admin or Application Member access

1. Go to the Forms module

2. Search for the target supplier form and open it.

3. Click the envelope icon to manually send the outstanding action email to the supplier.

4. A new window will open where you can select an email template. Click Test Email to send a test to your own email address, then click Send Email once you are ready.

5. The supplier will receive the email and can proceed with completing their outstanding actions and commitments.
