🔍 Purpose

This guide offers detailed, step-by-step instructions for creating a Preference Report. It covers how to choose the appropriate report type, add relevant questions and designate non-preferred responses, as well as how to save, schedule, export the report as a PDF, and delete saved reports. By following these instructions, users can efficiently create and manage Preference Reports tailored to their organisation’s needs.

Users must ensure that they have completed following listed actions:

📝 Step-by-Step Guide

(a) How to Create Preference Report

1. Click on the Navigation menu on the top left-hand side of the page.

2. Click on Reports module.

3. The landing page in Reports module is Report Builder, click on Preference Report tab.

4. Click on the field adjacent to Report Type type to select the type of report you are trying to create i.e. Preferred Reponses or Non-preferred Responses.

5. Select a Form Template from the drop down list. We have selected Modern Slavery Questionnaire template in this training guide.

6. Click on Group field to chose the groups you are creating the report for. In this instance, we selected FY23 group.

7. Click the green + symbol to Add preference item; this is where your key questions will be added which will serve as a red flag report i.e. A report that provides all non-preferred responses from your suppliers within a specific group.

8. Select the question from your SAQ you wish to add to your Preference Report.

9. To change the selected question, click on the pen icon on the right hand side of the selected question.

10. Click on the Question field to view the list of questions to choose from.

11. Click and select the question of your choice from the list of questions.

12. Click to select the Non-preferred Responses. (Please note that the selections below are solely used as examples for this training guide).

13. The changes made will appear with the new questions chosen and its non-preferred responses.

14. Following the above steps, any number of questions and non-preferred answers can be added to your preference report. (Please note that the questions used must be exactly those questions that are currently appearing in your SAQ).

15. A list of supplier names and each question will appear meeting the requirements of the non-preferred responses for the relevant questions.

(b) How to Save and Schedule a Preference Report

1. To save this report, click on the Save + Edit Report.

2. Enter the name of the report in the Title field.

3. Click the Owner Type field and select Organisation; this will allow other members of your organisation to access the templates.

4. Enter the name of your organisation in the Owner field (please note that Acme Co is entered as an example only).

5. To schedule this report to be emailed to you at a frequency of your choice, toggle on the Schedule Report toggle.

6. Select the Frequency.

7. Click Next Run to select a date from the pop up calendar.

8. Enter the email address(es) of the intended recipient(s) separated by comma.

9. Click Save to save the scheduled report.

(c) How to Export the Report in a PDF Format

1. This report can be emailed and downloaded in a PDF format by clicking the PDF icon.

(d) How to Delete a Saved Report

1. To delete a report, click on the bin icon.

The report will be deleted permanently.

(e) How to Export the Report in a CSV Format

1. This report can be emailed and downloaded in a CSV format by clicking on the CSV icon.
