🔍 Purpose
As you move into a new calendar year, taking time to review and refresh your setup in Informed 365 will help ensure smooth supplier engagement, accurate reporting, and stronger outcomes across the year.
The steps below outline recommended actions to prepare your platform for the 2026 reporting period, particularly for organisations managing modern slavery assessments and supplier Self-Assessment Questionnaires (SAQs).
1. Set Up Your 2026 Groups
Creating groups for the new reporting year makes it easier to track, engage, filter, and report on your active suppliers for that period.
Groups help you:
Organise suppliers by reporting year or assessment cycle
Filter suppliers across dashboards and reports
Manage engagement and follow-up more efficiently

2. Review Email Templates for 2026
Before engaging suppliers, review your email templates to ensure the wording is current, accurate, and aligned with your organisation’s approach for the year ahead.
This is particularly important for:
Initial invitation emails, which set the tone for supplier engagement
Reminder and follow-up emails
Any references to reporting periods, dates, or obligations

3. Review and Update Supplier Contacts
Accurate supplier contact details are critical to successful engagement.
We strongly recommend:
Using real individuals’ email addresses rather than generic inboxes (e.g. avoid accounts@ or sales@ where possible)
Confirming that the Primary Contact for each supplier is correct
Removing outdated or inactive contacts
This helps ensure invitations and reminders reach the right people and reduces delays in questionnaire completion.
4. Review and Activate Workflow Emails
Workflows automate follow-ups for suppliers who have not yet completed their SAQs. Reviewing these at the start of the year ensures reminders are sent at the right cadence and with the correct messaging.
When reviewing workflows, check that:
All required workflows are active
Email content is up-to-date
Timing and follow-up intervals align with your engagement strategy

5. Bulk Upload Any New Suppliers
If you have onboarded new suppliers, they should be added to the platform before invitations are sent.
Bulk uploads allow you to efficiently add multiple suppliers at once via the Modern Slavery Dashboard’s Inherent Risk tab.

6. Send Invitations and Linking Requests to Suppliers
Once suppliers are set up, invitations and linking requests can be sent from the Modern Slavery Dashboard’s Supplier Engagement tab.
Depending on your scenario, this may include:
Sending invitations after a bulk upload
Linking with existing suppliers already in the platform
Sending invitations to newly added suppliers

7. Review and Set Up Reports
The Reports Module allows you to monitor supplier engagement, completion status, and risk indicators throughout the year.
You may also configure scheduled reports so they are automatically emailed to you on a recurring basis.

8. Review Dashboard Charts and Widgets
Within the Modern Slavery Dashboard, the Reports tab provides a range of visual widgets to help track progress and outcomes.
Review existing charts or set up new ones to ensure they align with your reporting and monitoring needs for 2026.

In Summary
Completing these steps at the start of the year helps ensure:
Clear and consistent supplier engagement
Accurate and timely follow-ups
Better visibility across dashboards and reports
A smoother reporting process throughout the year
Taking these steps early helps ensure clearer supplier communication, smoother engagement, and more robust identification and management of modern slavery risks throughout 2026.
